The Follow-Up Emails That Never Get Sent

Workers spend an average of 28 percent of their workweek reading and responding to email, according to McKinsey Global Institute research. The AI Operations Employee is designed for US small businesses — typically 1 to 20 people — that have recurring inbox work and no current case for a full-time specialist.

The problem

Unresolved threads cool relationships.

A quote goes out. A client asks a question. A proposal lands in a thread. Three days pass. The follow-up email never happens because there was always something more urgent. The deal cools, the client decides you are not attentive, the question sits unanswered.

This is not a discipline problem. It is a capacity problem. When you are also doing the work, managing the schedule, and handling the operations, follow-up email is the first thing that slips — and the first thing clients notice.

How it works

Tracks open threads. Follows up so you do not have to.

The AI Operations Employee classifies incoming messages by type — inquiry, booking request, complaint, vendor message, or follow-up — as they arrive.

Threads without a final resolution are tracked automatically. When a thread goes unanswered past the agreed threshold, the employee drafts the follow-up and sends it within its authority boundary — or surfaces it to you with context if it falls outside.

The work scope and authority boundary are agreed in writing before the employee starts. You define what it handles automatically and what it holds for your review.

Not a reminder app

Reminders tell you. Follow-up automation does it.

A reminder app pings you when a thread has been sitting for three days. You still have to read the context, compose the email, and send it — during whatever else is happening that morning.

The AI Operations Employee does not remind you to follow up. It drafts the follow-up, within the boundary you set, and either sends it or shows it to you ready to approve in one click.

Authority

You set the rules. It works inside them.

The authority boundary is adjustable post-deployment. If you start with the employee holding all follow-ups for your review and later decide it can send routine ones automatically, you change the boundary — no rebuild required.

This is not a chatbot that guesses what to do. It operates inside rules you wrote. The rules survive staff changes and busy weeks.

What it reports

Plain numbers, on your schedule.

The employee produces a daily or weekly plain-number report: messages received, classified by type; threads resolved; follow-ups sent; open items that still need attention.

No dashboard to log into. No metrics to interpret. A short summary of what happened and what is still open lands in your inbox on the schedule you set.
