Frequently Asked Questions

Everything you need to know about working with Stromation, our automation audit, pricing, and support.

About Stromation

What does Stromation do? +
Stromation builds custom workflow automations that replace repetitive manual work in your business. We connect your existing tools (CRM, email, scheduling, invoicing, etc.) so data flows automatically between them, eliminating copy-paste, manual follow-ups, and other time-consuming administrative tasks. Learn more on our services page.
Who do you work with? +
We work primarily with small to mid-sized businesses, agencies, and service-based companies. Our clients typically have 2-50 employees and are spending too much time on manual, repetitive workflows. We serve industries including dental practices, home services, marketing agencies, consulting firms, and more.
Where is Stromation located? +
Stromation operates remotely and serves clients worldwide. All of our work is done digitally, so your location does not matter. We communicate via video calls, email, and Slack.

The Free Automation Audit

What is included in the free automation audit? +
The automation audit includes a detailed review of your current workflows, identification of bottlenecks and time drains, a prioritized list of automation opportunities ranked by ROI, and a clear build plan with estimated costs and timelines. You receive a complete document you can act on whether you work with us or not. Read more about what an automation audit includes.
How long does the audit take? +
The audit process typically takes 3-5 business days from your initial call to delivery of the audit report. The discovery call itself takes about 30-45 minutes. We then analyze your workflows and deliver the report within a few days.
Is the automation audit really free? What is the catch? +
Yes, completely free with no strings attached. We offer it because it is the best way for both sides to understand the opportunity. You get a valuable document with actionable insights, and we get to show you what we can do. There is no obligation to hire us after the audit. You can take the audit and build the automations yourself if you prefer.
What do I need to prepare before the audit call? +
Nothing specific. Just come with a general understanding of the manual tasks that take up the most time in your business. It helps to know which tools your team uses daily (CRM, email platform, project management, accounting software), but we will walk through all of that together on the call.

Pricing

How much do automation projects cost? +
We offer four project tiers. Starter Automation ($500-$1,000) covers a single workflow like missed call text-back, appointment reminders, Google review requests, or email auto-responders -- built in 3-5 days with 30 days of support. Simple Automation ($1,000-$2,500) handles multi-step workflows. AI-Assisted ($2,500-$6,000) adds AI-powered logic. End-to-End Replacement ($6,000-$15,000+) covers full system builds. The free audit includes specific pricing for your workflows. See our pricing details.
What are your payment terms? +
For project work, we typically collect 50% upfront and 50% upon completion. For larger projects, we can arrange milestone-based payments. We accept credit cards, bank transfers, and ACH payments.
Do you offer retainer or monthly plans? +
Yes. For businesses that need ongoing automation support, maintenance, and optimization, we offer monthly retainer plans. These include a set number of hours per month for building new automations, maintaining existing ones, and troubleshooting. Retainer details are discussed after the initial project is complete.

Technical

What tools and platforms do you work with? +
We work with n8n, custom API integrations, and AI tools. On the app side, we connect CRMs (HubSpot, Salesforce, Pipedrive), email platforms (Mailchimp, ActiveCampaign, Brevo), scheduling tools (Calendly, Acuity), accounting software (QuickBooks, Xero, FreshBooks), project management tools (Asana, Monday.com, ClickUp), and hundreds more.
How long does it take to build an automation? +
Simple automations can be built and deployed in 1-3 days. More complex multi-step workflows typically take 1-2 weeks. Enterprise-scale projects with multiple interconnected workflows can take 3-6 weeks. We provide specific timelines in your audit report.
Do I need any technical knowledge? +
No. We handle all the technical work. You do not need to know how to code, use APIs, or configure automation platforms. We build everything, test it, document it, and hand it over with clear instructions. If you want to learn how it works, we are happy to walk you through it. See our post on no-code workflow automation tools for more on how these platforms work.
Can I modify automations myself after they are built? +
Yes. We build automations using n8n, which you have full access to, so you can make changes if you are comfortable doing so. We also provide documentation that explains how each workflow is structured. If you prefer not to touch it, that is fine too -- we can handle all modifications for you.

Support

What happens after my automation is built? +
After building and testing your automation, we deploy it, monitor it for the first week to ensure everything runs smoothly, and deliver documentation that explains how it works. We also provide a handoff session where we walk your team through the workflow and answer any questions.
Do you offer ongoing support and maintenance? +
Yes. All projects include a 30-day support window after deployment for bug fixes and adjustments at no extra cost. Beyond that, we offer monthly retainer plans for ongoing support, or you can contact us for one-off fixes and updates as needed.
What if something breaks? +
Automations can break when a connected app changes its API or when your business process changes. During the 30-day support window, we fix any issues at no charge. On a retainer plan, we monitor your automations proactively and fix issues before they affect your business. For one-off fixes outside of a retainer, we offer quick-turnaround support at our standard hourly rate.
